Committee roles

CURRENT OFFICERS AND COMMITTEE MEMBERS
The following provides you with information about the current officers and committee members and what their roles involve:

CONDUCTOR
– Conducts all rehearsals, unless alternative arrangements have been made with his consent
– Makes recommendations of programmes, soloists, other musicians
– Provides programme notes for concerts

CHAIRMAN
– Presides at all meetings of the Society and Committee
– Represents the Society on any formal occasions
– Acts on behalf of the Committee on urgent matters

SECRETARY Convenes and keep minutes of Committee meetings
– Deals with matters arising from the Committee
– Acts as official correspondent of the Society
– Convenes the AGM, keep minutes and deal with business
– Maintains the society’s membership & mailing databases
– Maintains an overview of concert planning

TREASURER
– Receives all monies and makes payments for the Society
– Keeps Society accounts and prepares for annual audit
– Prepares budgets and other financial statements requested by the Committee
– Arranges contracts with professional musicians
– Books venues for concerts and rehearsals

LIBRARIANS
– Source and order music as required and return this
– Issue and collect copies, collect fines/replacement copies
– Maintain the inventory of Society music assets

MEMBERSHIP SECRETARY
– Liaises with Hon Conductor and report to Committee on membership matters
– Arranges auditions of applicants
– Keeps the register of attendance and implements Choir rules, using discretion, with approval of the Conductor
– Arranges five-yearly re-auditions

SOCIAL SECRETARY
– Co-ordinates the organisation of social events proposed by the Committee
– Arranges for payments to be collected for such events
– Co-ordinates fund-raising activities

PUBLICITY MANAGER
– Liaises with others regarding development and printing of publicity materials
– Arranges distribution of publicity materials
– Arranges media publicity as appropriate

BOX OFFICE MANAGER
– Takes charge of tickets and box office at concerts
– Deals with audience matters as appropriate at the time
– Pays into the Society’s accounts all monies received from ticket sales and keeps appropriate records

CONCERT/STAGE MANAGER
– Prepares seating/staging for final rehearsals and concerts
– Deals with any logistical problems at the final rehearsal
– Prepares choir seating plan for concerts

ORDINARY COMMITTEE MEMBERS
– Have a particular responsibility for liaising with choir members and representing their views in Committee meeting

In addition – choir members support the work of the Society in many ways at and between rehearsals.
